Definition of personal data: Personal data includes any information that relates to an identified or identifiable natural person, such as an email address, address, phone number, and so on.

What personal data do we process?

The types of personal data Admisol processes regarding you may include the following:

  • Basic personal information such as name, address, phone number, email address and demographic information.
  • Information related to user and web traffic, such as login information, username and IP address.
  • Financial information, such as data related to invoices.
  • Content you have uploaded or provided, such as documents, comments and financial data.
  • Statistics showing how users use our software and the consent they provide.

Information provided in job applications is also processed.

How is personal data collected?

Generally, Admisol NV collects personal data directly from you or other individuals connected to our customer, such as your employer, municipality, school, etc. If the customer purchases Admisol products or services through a partner company, we may collect information about you from the partner company. Admisol will also use cookies and other tracking technologies, including Wootric and Google Analytics when you use our applications/services to optimize your experience with Admisol and our products.

Why do we process personal data?

Privacy Statement applies when Admisol NV processes your personal data for various purposes when you interact with us, such as:

Purchasing and delivery

  • Facilitating customer orders, agreements, payments
  • Offering services directly to you, such as reports, etc.
  • Offering requested quotes for products and services to customers
  • Creating and facilitating accounts for users of our services

Support and improvement

  • Improve and develop the quality, functionality and user experience of our products, services and sites
  • Provide customer support for our products and services
  • Manage user communities to enable education and interaction between users and Admisol

What is the legal basis for processing your personal data?

We process data based on several legal grounds.

Agreement with you

We process your personal data on the basis of a legally binding contract with you. This usually occurs when you enter into a contract with Admisol NV for the use of our services.

Legitimate interest

Admisol NV has a legitimate interest when we process your data for security, support and improvement purposes, or when you act as a customer contact/lead for our existing and potential customers, including customer support. Your personal data is processed from a business perspective in a way that we believe does not violate your privacy rights or freedoms.

How will your personal data be shared?

In accordance with our privacy policy, Admisol NV confirms that personal information is not shared with third parties except in the case of legitimate requests from public authorities. Police and other authorities may request access to Admisol NV personal information. In such cases, Admisol NV will provide the requested data only if there is a court order or similar legal obligation to do so. When do we use processors?

Admisol NV, as data controller, uses third-party processors to process personal data in certain situations. These processors are typically providers of cloud services or other IT hosting services. When Admisol NV decides to use processors, the company enters into a data processing agreement to safeguard your privacy rights.

This data processing agreement specifies the conditions under which processors may process personal data and includes essential aspects such as security measures. The purpose of entering into this agreement is to ensure compliance with privacy laws and to ensure that the processing of personal data complies with applicable legal standards.

In the event that the processors are located outside the EU/EEA, Admisol NV takes measures to ensure that there are legal grounds for such international data transfers on your behalf. This may include the use of the EU Model Clauses, which ensure an adequate level of data protection in such transfers.

How long will your data be kept?

Admisol NV will keep your personal information only as long as necessary to fulfill our contractual obligations. When processing your personal data on other legal grounds, such as legitimate interest, the data will be kept as long as necessary to fulfill the purpose of the processing.

Therefore, your personal data may be subject to different retention periods based on the type of data and the purpose of its collection. Here are some examples:

  • When recruiting personnel, Admisol NV will delete your personal information, such as your resume, application and other documents, when the recruitment process is completed, usually up to 6 months after the deadline for applications, unless otherwise agreed with you.

  • Another example concerns contact information kept for marketing purposes, including leads or prospects. Such personal data will be deleted no later than 24 months after the last recorded activity.

What are your rights?

You can exercise the following rights regarding our processing of your personal data:

Access

You have the right to request a copy of the personal data we process about you.

Rectification

You also have the right to request Admisol NV to correct inaccurate personal data relating to you. If you have an account for Admisol NV's sites or services, this can usually be done through the appropriate sections such as "your account" or "your profile" on the relevant site or service.

Deletion

You may request Admisol NV to delete personal information relating to you.

Restriction

Objection to Marketing and Profiling

Legitimate interest

When you interact with Admisol NV, for example by visiting our web pages, downloading content, and as part of using our services, Admisol NV processes your personal data based on legitimate interest. One of our legitimate interests is the processing of personal data for direct marketing purposes.

Admisol NV uses your personal data to provide relevant content to you through direct marketing on social media platforms and emails, web pages or in a service, based on your preferences. The personal data processed are aggregated details about you, such as IP address, interests (what you clicked on, etc.), username and device. This is done through technologies such as cookies and is called profiling. Admisol NV may also combine this information with information about the customer relationship we may have with your company.

The purpose of profiling is to deliver customized marketing to you, improve your user experience with our services/websites and deliver products that satisfy our customers. Admisol NV's services are generally used as tools for work-related purposes, and your behavior in these tools says little about your personal life. No sensitive data is processed. Your personal data is therefore processed from a business perspective in a way that we believe does not violate your freedoms and rights as an individual.

Admisol NV uses e-mail as a tool to communicate marketing, however, only if you have consented in accordance with national marketing legislation. If you have consented, you always have the option to unsubscribe as described below, or when you receive an email with marketing.

Right to unsubscribe from marketing communications.

You have the right to unsubscribe from receiving marketing communications from Admisol NV and from being subjected to profiling. You can do this by:

  • Following the unsubscribe instructions in the relevant marketing communication.
  • Changing preferences under the relevant 'edit account' section if you have an account with Admisol NV.
  • You also always have the option to enable/disable cookies on a specific web page via our cookie banner.

Please note that even if you opt out of receiving marketing communications you may still receive administrative communications from Admisol NV such as order confirmations and notifications necessary to manage your account or services provided to customers.

Changes
